Job Description
This is a fully remote role with occasional travel / in-person meeting support with priority for candidates residing in MA or AZ.
About the Role
We’re looking for a Client Services Coordinator to provide operational and administrative support to our EVP, Brokerage. You’ll be the organizational engine behind a high-performing executive, managing deal flow, creating client deliverables, coordinating transactions, and making sure nothing falls through the cracks.
This is a ground-floor opportunity for someone early in their career who is eager to learn commercial real estate from the inside out. You’ll constantly look for ways to do tasks faster and better using AI tools, and you’ll help build the playbook for how our team works smarter.
You’ll work cross-functionally with operations and technology teams, with exposure to all aspects of the business, making this a launchpad for a career in commercial real estate or operations.
What You’ll Do
AI-First Workflow & Process Innovation
- Use proprietary and publicly available AI tools daily to draft documents, accelerate research, and create client deliverables
- Proactively identify repetitive or manual processes and build AI-powered workflows to automate or streamline them
- Continuously experiment with new AI tools, techniques, and prompts, then document and share what works with the team
- Serve as a power user of LocateAI’s proprietary platform
- Champion an AI-first culture by helping teammates integrate AI into their own workflows
Transaction & Deal Support
- Prepare deal documents including RFPs, Letters of Intent, lease abstracts, renewal letters, and client correspondence
- Attend client calls and meetings to learn the business and provide real-time support
- Coordinate flow of documentation between clients, landlords, and internal teams throughout the deal lifecycle
- Manage and maintain CRM database to track the EVP’s prospects, clients, and deal pipeline
- Collect and process deal file paperwork; calculate commissions and submit closed transactions; support collections of commissions
Client Deliverables & Research
- Create market surveys, tour books, competitive sets, and property analysis packages
- Prepare polished presentations, pitches, and proposals for client meetings
- Gather market research using CoStar, LoopNet, and proprietary tools
- Coordinate property tours and create tour logistics packages for clients
Marketing & Brand
- Prepare tour packages and client materials using established templates
- Create and update templated marketing collateral including property flyers, brochures, and email campaigns
- Ensure all materials adhere to brand guidelines, maintaining consistency in fonts, colors, logos, and visual standards
Administrative Operations
- Light meeting coordination
- Maintain discretion and professionalism when handling confidential client and deal information
What You Bring
Required
- Flexibility and agility in a high-growth environment
- 0 - 2 years of professional experience (internships, co-ops, or part-time roles count)
- Demonstrated enthusiasm for AI tools and a habit of using them to get work done faster (we’ll ask you about this in the interview)
- Strong written and verbal communication skills with sharp proofreading abilities
- Excellent organizational skills: ability to juggle multiple priorities, meet deadlines, and work independently
- Self-starter mentality with a proactive, detail-oriented approach
- Comfort working in a remote-first, fast-paced startup environment
- Proficiency with standard productivity tools (Google Workspace, Microsoft Office); willingness to learn new platforms quickly
Nice to Have
- Exposure to commercial real estate (coursework, internships, or personal interest)
- Familiarity with lease terminology and commercial real estate transaction basics
- Experience with InDesign, Canva or similar (AI design tools encouraged)
- Background in project coordination or executive support
