Role Description
The Medical Licensing & Credentialing Coordinator supports the end-to-end credentialing, licensing, and compliance lifecycle for clinical providers across multiple states. This role plays a critical part in ensuring providers remain fully licensed, credentialed, and eligible to practice without interruption. This position is ideal for a detail-oriented professional interested in healthcare administration, regulatory compliance, or medical operations, offering hands-on experience navigating state and federal regulatory requirements while partnering closely with senior compliance and operations leaders.
Key Responsibilities
- Support initial and re-credentialing processes for clinical providers across all states
- Conduct primary source verification of state licensure (medical, nursing, advanced practice)
- Verify education, training, board certification, work history, and malpractice coverage
- Perform required background checks and exclusion screenings including National Practitioner Data Bank (NPDB), OIG/GSA exclusion lists, state medical and nursing boards, and state-mandated criminal background checks
- Ensure credentialing files meet internal standards and regulatory requirements
- Assist in preparing documentation for audits and regulatory reviews
- Monitor state-specific licensing requirements and regulatory updates across operating markets
- Track and support renewals for RN/NP/Physician licensure, prescriptive authority, DEA registrations, and controlled substance permits
- Coordinate collection and submission of licensing documentation to prevent practice disruptions
- Maintain awareness of multi-state regulatory nuances impacting scope of practice
- Maintain an organized tracking system for all license, certification, and credential expiration dates
- Proactively send renewal reminders and follow up to ensure timely submission
- Escalate potential compliance risks, documentation gaps, or expiring credentials to senior leadership
- Support reporting on credentialing status and compliance metrics
- Maintain accurate, audit-ready digital credentialing files
- Upload and organize documentation within credentialing and HRIS systems
- Ensure secure handling of sensitive provider information in accordance with HIPAA and company policies
- Support continuous improvement of credentialing workflows and tracking systems
Qualifications
- Demonstrated interest in healthcare administration, compliance, or medical operations
- Strong attention to detail with a high standard for accuracy
- Ability to manage multiple deadlines in a fast-paced, regulated environment
- Strong organizational and documentation skills
- Proficiency in Microsoft Office or Google Workspace; ability to learn credentialing systems quickly
- Clear and professional written and verbal communication skills
Preferred Qualifications
- Internship or entry-level experience in healthcare, compliance, or regulatory environments
- Familiarity with provider credentialing processes or healthcare terminology
- Experience with document management systems or compliance databases
- Exposure to multi-state regulatory frameworks
