Job Description
Role Description
As a Project Closeout Consultant, you will manage all aspects of closeout documentation collection, organization, validation, and delivery for commercial construction projects. You are the person who makes sure nothing gets lost in the handoff from construction to operations.
- Collect closeout documentation from general contractors and their subcontractors throughout construction, including equipment specifications, operation and maintenance manuals, warranties, as-built drawings, commissioning reports, test and balance reports, and training materials.
- Track submission status, follow up on outstanding items, and ensure all required documents are received.
- Organize documentation in our DataSphere platform by system, room, manufacturer, and drawing number.
- Verify that submitted documentation matches contract requirements and installed equipment.
- Audit documentation packages for completeness and accuracy before delivery.
- Work directly with project managers, project engineers, and subcontractors to collect documentation.
- Provide status updates to general contractors and participate in closeout coordination meetings.
- Train building owners and facility managers on DataSphere navigation and features upon project delivery.
- Manage multiple projects simultaneously at different stages of completion.
- Track progress against milestone schedules and flag issues before they become problems.
Qualifications
- 2+ years working with construction documentation, project management, or facilities management
- Familiarity with construction closeout processes and typical documentation requirements
- Experience reading and interpreting construction drawings and specifications
- Proficiency with document management systems and cloud-based platforms
- Strong organizational skills with the ability to track hundreds of documents across multiple projects
Requirements
- Background as a project engineer, project coordinator, or assistant project manager with a general contractor
- Experience in facilities management or building operations
- Knowledge of MEP systems (mechanical, electrical, plumbing) and building equipment
- Familiarity with CSI specification divisions and submittal processes
- Experience with construction management software
