Job Description

Purpose of the Role
The Enterprise Systems Project Manager leads and coordinates institution-wide technology initiatives that support core administrative and academic operations. This role is responsible for guiding complex system transitions, stabilizing enterprise platforms, and aligning technology implementations with institutional goals while work is actively in progress.

The primary focus of the role is to lead the transition and re-establishment of CRM and SIS platforms, ensuring continuity of operations through effective planning, communication, training, and workflow redesign. The Project Manager partners closely with IT staff, functional departments, and external vendors to translate institutional needs into executable project plans, mitigate risk, and maintain momentum during periods of change. 

By establishing clear governance, repeatable project practices, and shared understanding across stakeholders, this position plays a critical role in restoring confidence in enterprise systems, improving operational efficiency, and laying the groundwork for future system evaluation and long-term technology strategy.Team & Reporting

Preferred Qualifications:
•  Experience leading or supporting enterprise system implementations or major platform transitions, particularly involving CRM, SIS, ERP, or other institution-wide systems.
•  Demonstrated ability to manage complex, cross-functional projects that involve multiple stakeholders, vendors, and overlapping timelines.
•  Familiarity with higher education administrative and academic business processes, including experience working with systems such as SIS, CRM, LMS, or related platforms.
•  Understanding data flows, integrations, and reporting dependencies between enterprise systems, including coordination of data validation and cutover activities.
•  Experience working within regulated environments and awareness of data privacy, security, and compliance considerations (e.g., FERPA, GLBA, or similar).
•  Strong written and verbal communication skills, with the ability to translate technical concepts into clear, actionable information for non-technical audiences.
•  Formal training or certification in project or program management (e.g., PMP, Agile, or equivalent experience) is preferred. Key Areas of Focus
This role is focused on outcomes and contribution, not an exhaustive list of tasks.

1. Enterprise System Transition and Stabilization
  • Lead and coordinate the transition, reimplementation, and stabilization of core enterprise systems, including CRM and SIS platforms, while minimizing disruption to institutional operations.
  • Guide cross-functional teams through system changes by aligning technical work, functional requirements, timelines, and vendor activities.
  • Identify operational risks, dependencies, and gaps in documentation or process, and proactively develop mitigation strategies to keep projects moving forward.
  • Ensure enterprise systems are supported by clearly defined workflows, ownership models, and escalation paths.
2. Project Execution and Delivery Management
  • Develop and maintain actionable project plans that reflect constraints, evolving requirements, and parallel workstreams.
  • Track progress across multiple initiatives, ensuring milestones, dependencies, and risks are visible to stakeholders and leadership.
  • Coordinate vendor engagements, including implementation partners and software providers, to ensure deliverables align with institutional expectations.
  • Support data validation, testing coordination, and cutover activities during system transitions to ensure continuity and accuracy.
3. Process, Training, and Change Enablement
  • Partner with university departments to document current-state and future-state workflows supported by enterprise systems.
  • Communicate effectively and deploy interpersonal skills to see the big picture and translate technical specifications to a non-technical audience, and vice versa.
  • Coordinate the development and delivery of training materials, user documentation, and communication plans that support adoption and confidence.
  • Facilitate conversations that translate technical capabilities into operational understanding for non-technical stakeholders.
4. Governance, Continuous Improvement, and Future Planning
  • Establish repeatable project practices, documentation standards, and governance structures to improve consistency across enterprise initiatives.
  • Capture lessons learned from system transitions to inform future technology decisions and implementation approaches.
  • Lead or support evaluation and scoping efforts for future SIS, CRM and enterprise IT solutions.
Collaboration & Communication
  • Works closely with: Information Technology, operations staff across the entire university, and functional stakeholders as impacted by relevant systems.
  • May support or guide: Director of Information Technology and the university.
Success in This Role Looks Like:
  • Enterprise CRM and SIS platforms are stabilized and operating reliably, with clear ownership, documented processes, and reduced disruption to day-to-day institutional operations during and after the transition period.
  • Key stakeholders understand and follow defined workflows for core processes supported by enterprise systems, resulting in fewer workarounds, clearer accountability, and improved user confidence in the systems.
  • Training materials, documentation, and communication plans are in place and actively used, enabling staff to effectively perform their roles and adapt to updated systems, processes, and data flows.
  • Project timelines, dependencies, and risks are clearly communicated and actively managed, allowing leadership and functional teams to make informed decisions and respond quickly to emerging issues.
  • Future-state planning for SIS and CRM solutions is well-defined, including documented lessons learned, evaluated options, and actionable recommendations that support long-term institutional goals.
  • Project governance and repeatable delivery practices are established, creating a foundation for consistent execution of future enterprise initiatives beyond the immediate transition.
Expectations for Growth
As the university’s enterprise systems mature, the Enterprise Systems Project Manager will take on broader responsibility for leading complex, cross-functional technology initiatives beyond the initial stabilization and transition period. The role is expected to evolve from recovery-focused project leadership into increased involvement with enterprise planning, system enhancements, and future-state evaluation of CRM, SIS, and related platforms.
 
Ongoing growth in this role requires deeper institutional knowledge, stronger change-management skills, and continued development in project and program leadership practices. Professional development may include advanced project management training, expanded exposure to enterprise systems and integrations, and participation in higher education technology or project management communities, with opportunities to help shape institutional standards for enterprise project delivery.

Salary 

The salary range for this role is between $85k-$100k.
