Job Description
The PMO (Project Management Office) Business Partner is a detail-oriented leadership role responsible for ensuring that Coastal’s project management standards are executed with precision across specific market segments. Reporting to the Sr. Director, PMO, this role moves beyond theoretical governance to focus on the operational health of project delivery. You are responsible for ensuring that every project within your market adheres to the defined "Coastal Way," from initial scoping to final closeout.
This leader serves as the bridge between PMO global standards and the day-to-day reality of project execution. By partnering with VPs of Delivery, you ensure that innovation pilots and strategic methodology changes are actually implemented at the project level. Your success is measured by the consistency of delivery, the accuracy of project data, and the seamless adoption of PMO playbooks by the delivery teams.
Role Responsibilities:
- Operationalize PMO Standards: In partnership with Market leadership, ensure the frameworks and standards defined by the PMO and PMO Tiger Team are fully operationalized at the market-level, ensuring every project team understands their tactical requirements.
- Project Health Oversight: Conduct rigorous, detail-oriented "Project Health Checks" and audits to ensure compliance with Coastal’s delivery standards, financial targets, and risk management protocols.
- Consistency Management: Ensure that all project managers within the market are utilizing standardized templates, reporting cadences, and toolsets (e.g., Salesforce, Smartsheets, etc.) with continually improving accuracy.
- Execution Guardrails: Act as a supporting line of defense for delivery risks, providing tactical intervention and course correction when project-level execution drifts from the established methodology.
- Feedback Loop Management: Capture granular, on-the-ground feedback regarding PMO tools and templates to inform continuous improvement of the global standard.
- Resource Optimization: Work closely with VPs of Delivery, the Resource Manager, and other members of the People & Culture team to ensure project staffing aligns with both client needs and the operational requirements of the PMO framework.
- Methodology Alignment: Ensure key steps and stages of methodology including True North, SNAP, QBRs, and other project lifecycle consulting methodologies are not just "suggested" but are mechanically integrated into the project schedules and milestones of every engagement.
- Data Integrity: With Market-level leadership and PMO Performance Analyst, ensure regular reviews of market-level project data, including that financial forecasting, utilization rates, and margin tracking are documented with high precision and accuracy. Identify and follow-up on areas of challenge providing engaged support in maintaining hygiene to ensure reporting accuracy across all key project metrics.
- Stakeholder Coordination: Serve as the tactical point of contact for VPs of Delivery and Delivery Directors, providing them with transparent, data-driven insights into project performance and delivery risks.
- Performance Analytics: Analyze project variances (budget, schedule, scope) within the market to identify systemic execution gaps and deploy targeted training or process fixes in partnership with PM Academy Manager and PMO Performance Analyst.
- Quality Assurance: Ensure that project closeout activities, including "Lessons Learned" and asset harvesting, are completed with the detail required to fuel organizational learning and continuous improvement.
- Client Satisfaction & Success Stories: Ensure that project closeout activities include closure on critical Client Satisfaction and Customer Success Story activities.
- Tactical Coaching: Provide hands-on mentorship to Project Managers and Associate PMs, focusing on the mastery of Coastal’s PMO tools, financial tracking, and status reporting.
- Onboarding & Training: In partnership with the PM Academy Manager, lead the market-level onboarding for new hires to ensure they are immediately proficient in the specific "how-to" of Coastal’s delivery mechanics.
- Culture of Discipline: Foster a delivery culture that prioritizes documentation, data accuracy, transparent reporting, and proactive risk communication over "heroics."
Experience/Skills Required:
- 6–8 years of experience in program management, operational excellence, or transformation consulting; 3+ years specifically in a "scaling" or "enablement" role.
- Proven track record in a PMO or Project Management leadership role with a heavy focus on governance, reporting, and process compliance.
- Exceptional ability to analyze project financial data and schedules to identify hidden risks before they impact the client.
- A relentless focus on the "small things"—ensuring templates are used correctly, data is updated on time, and milestones are accurately tracked.
- Mastery of professional services automation (PSA) tools and project management software; experience with Salesforce-integrated PM tools is a major plus.
- Demonstrated ability to lead cross-functional teams through complex project lifecycles using a structured methodology.
- Ability to translate complex project data into clear, actionable status updates for executive stakeholders.
- Skilled at navigating the tension between "delivery speed" and "process adherence" to ensure neither is compromised.
- Must have full-time permanent US work authorization
Additional Preferred Experience/Skills:
- Familiarity with the Salesforce and Snowflake ecosystems is highly preferred to understand the technical nuances of the pilots being scaled.
- Bachelor’s Degree or equivalent experience.
- Certifications in Project Management (PMP), Change Management (PROSCI/CCMP), or Lean/Six Sigma are highly valued.
- A "Builder" mindset—takes satisfaction in creating order out of ambiguity.
- Resilience and adaptability when navigating the friction of organizational change.
