Role Description

The Operations Support/ Flight Coordinator is in charge of booking international and domestic flights. This requires:

  • Gathering all supporting documentation
  • Sending the request to the appropriate airline
  • Following up as needed
  • Recording flight information in our systems once a flight has been approved
  • Assisting other departments in operations as needed

Qualifications

  • Ability to read and comprehend simple instructions, short correspondence, and memos
  • Ability to write simple correspondence
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization

Requirements

  • Complete all airline booking following each airline's requirements
  • Filling out airline forms
  • Emailing and submitting documents via online portals to the airlines
  • Booking on time within the airline-prescribed booking window
  • Communication with the destination agent and with the airline to ensure that we have the "Okay To Forward"
  • Maintaining updated information in our CRM database
  • Communicating with all teams to ensure the move is on track
  • Assist with boarding reservations and booking vet appointments
  • Assist fellow ops team members when needed
  • Completes shift work, as assigned, in a timely and thorough manner in accordance with department standards
  • Follows and observes all company policies and procedures
  • Follows company standards for attendance and punctuality
  • Develops a positive working relationship with fellow workers and customers and avoids conflict
  • Attends companywide meetings and all other mandatory training sessions
  • Assist other functions as needed
