The Administrative Support and Graphics Specialist provides high-level administrative, documentation, and graphics support for program operations and executive leadership. This role is responsible for compiling, editing, and producing a variety of professional documents including:
- Reports
- Proposals
- Manuals
- Cost estimates
- Briefings
- Presentations
The specialist integrates text and graphics to create clear, cohesive, and visually effective deliverables using standard office and graphic tools. Responsibilities include:
- Preparing spreadsheets, reports, and PowerPoint presentations
- Reviewing materials for typographical accuracy, grammar, spelling, punctuation, and overall format before submission for leadership approval
- Supporting executive communications and meeting coordination
- Organizing information for executive briefings
- Preparing meeting agendas
- Tracking action items
- Documenting key discussion points and decisions
- Drafting executive communications based on meeting notes
- Ensuring timely follow-up on assigned actions
- Coordinating logistics for high-visibility seminars, conferences, and program meetings
- Supporting project documentation, administrative reporting, and internal documentation management
- Maintaining an organized documentation library to ensure materials remain current, accessible, and properly archived
- Assisting in preparing and maintaining technical, operational, and program documentation
- Providing detailed analysis of information and highlighting key findings and recommendations
Qualifications
- Minimum five (5) years of relevant experience in administrative support, documentation management, or graphics support
- Proficiency with SharePoint, Microsoft Word, Excel, and PowerPoint
- Experience coordinating high-visibility seminars, conferences, and program meetings, including logistics and public interaction
- Demonstrated experience assisting with the creation, maintenance, and analysis of technical documentation, presentations, and reports
- Experience supporting document assembly, editing, and administrative and financial documentation tasks
- Knowledge of organizational change management principles
- Experience supporting IT project management activities using Microsoft and graphics tools
- Ability to create, review, and update program briefings and executive communications for senior leadership
- Strong ability to multitask, prioritize competing requirements, and manage multiple projects
- Excellent written, verbal, and visual communication skills
- Strong analytical, organizational, and interpersonal skills
- Creative and strategic thinker with the ability to solve complex programmatic challenges
- Ability to work independently with minimal supervision
