Role Description

The Travel Coordinator is responsible for planning, organizing, and arranging travel for employees and contractors. This role ensures cost-effective, efficient, and seamless travel experiences while maintaining compliance with company travel policies. The Travel Coordinator will also be responsible for budget tracking and financial coding related to travel, and must communicate actively and daily with technicians, project managers, and other cross-functional teams.

Key Responsibilities

  • Travel Planning & Booking
    • Coordinate domestic travel arrangements including air, hotel, and car rentals.
    • Evaluate travel options to secure the most efficient and cost-effective solutions within our internal booking tool.
    • Ensure accurate and timely bookings according to traveler needs and company guidelines.
  • Vendor & Relationship Management
    • Maintain relationships with hotels for seamless credit card authorization process.
    • Assist with negotiating corporate rates and service agreements.
    • Address and resolve travel-related service issues promptly.
  • Policy Compliance & Budget Control
    • Ensure travel bookings comply with company travel policies and guidelines.
    • Monitor travel expenses and assist in budget tracking.
  • Traveler Support & Communication
    • Act as the point of contact for travel inquiries and support.
    • Handle last-minute changes, cancellations, and emergency situations.
    • Provide timely communication and assistance before travel.
    • On-call availability for urgent travel changes outside of standard business hours.
  • Administrative & Reporting Duties
    • Maintain traveler profiles.
    • Prepare travel reports and analytics for management.
    • Assist in reviewing and updating travel policies.

  • Highly organized with the ability to manage multiple priorities simultaneously
  • Spanish language proficiency is a plus

Education & Experience

  • High School Diploma or equivalent required

  • Must be able to pass a drug screening and background check.
