Job Description

Position Title: Play & Competition Coordinator

Reports to: Manager of Competition

Oversees: Provides on-site direction to seasonal event staff and volunteers as assigned.

Location: Remote work within the Pacific Northwest boundaries (Oregon, Washington, Alaska, Northern Idaho). Residence in the greater Portland metro area is strongly preferred due to proximity to Section events and partner facilities.

Status: Full Time; Hourly (Non-Exempt) 

Established in 1904, the United States Tennis Association Pacific Northwest (USTA PNW) is a 501c3 non-profit organization working to promote and develop the growth of tennis by providing access for all. As one of the 17 sections of the USTA, the national governing body of the sport of tennis, USTA PNW serves more than 1.3M tennis players, 200+ tennis facilities, and provides low-cost RecTennis afterschool and summer parks programs to 40,000+ participants. USTA PNW has cultivated over 300 community partnerships including schools, public parks, recreation, and shared spaces across four states. USTA PNW is the largest employer of recreational tennis jobs in the Pacific Northwest with more than 500+ full-time, part-time, and seasonal employees annually, creating new tennis jobs within the immediate communities served as a core initiative of embracing diversity and inclusivity.

Key Responsibilities: 

1. Play Pathway Development:

  • Serve as the bridge between RecTennis, Junior Team Tennis, Junior Circuit, High School tennis, and Tennis on Campus.
  • Develop strategies to convert recreational players into structured competitive opportunities.
  • Partner with RecTennis leadership to create clear competitive on-ramps.

2. Junior Team Tennis (JTT):

  • Lead operational delivery of USTA Junior Team Tennis programming.
  • Recruit and support new and returning JTT teams and captains.
  • Coordinate scheduling, TennisLink setup, and match publication.
  • Serve as primary contact for JTT inquiries from players, parents, coaches, and facilities.
  • Support JTT Section Championships and advancement procedures.
  • Ensure compliance with USTA National and Section regulations.
  • Track participation growth and retention within JTT.
  • Act as Tournament Director for JTT Sectional Championship.

3. Junior & Entry-Level Competition Support:

  • Process tournament sanction applications and ensure compliance.
  • Support Junior Circuit growth and entry-level tournament offerings.
  • Assist with player selections and advancement procedures.
  • Maintain Serve Tennis administrative accuracy.

4. Tennis on Campus (TOC):

  • Recruit and support college club teams.
  • Assist with scheduling and TOC Sectional Championships.
  • Act as Tournament Director for TOC Sectional Championship and TOC Alumni Cup
  • Provide education and leadership resources for club officers.

5. Event & Training Execution: 

  • Support delivery of Junior Sectionals, Adult Sectionals, and team events.
  • Recruit, train, and oversee seasonal event staff and volunteers.
  • Assist in coordination of team events (as assigned).
  • Manage logistics for competitive player trainings and pathway programs.

6. Competition Administration:

  • Provide operational and administrative support for the Department of Competition events.
  • Support competition processes, such as but not limited to RFP, Certificate of Insurance documentation, and Tournament Feedback collection and tracking.
  • Maintain and update designated website pages.
  • Perform other duties as assigned by the Manager of Competition.

Supervisory Responsibilities: 

  • Provides on-site leadership and coordination for seasonal event staff and volunteers as assigned.
  • This position does not include direct supervision of full-time employees.

Internal Relationships:

  • Reports directly to the Manager of Competition.
  • Collaborates with RecTennis leadership to develop conversion opportunities from recreational to competitive play.
  • Partners with Marketing on program launches, recruitment campaigns, and communication strategies.
  • Works with the Data Analyst to track participation metrics and performance indicators.
  • Coordinates with Accounting and Administrative Support on registration, event payments, and financial reconciliation.
  • Provides updates and reports to the Managing Director as requested.

External Relationships: 

  • Tournament Directors (Junior, Adult non-league, and Junior Circuit).
  • Junior Team Tennis captains, coaches, and facility partners.
  • High School coaches and athletic directors.
  • College club leaders and Tennis on Campus officers.
  • Players and parents.
  • USTA National Competition and Junior Team Tennis staff (as appropriate).
  • Officials and event contractors.
  • Host facilities and site directors.
  • Community tennis partners and program providers.

Key Performance Indicators: When reviewing this position during the season, the following will serve as performance indicators: 

Participation & Growth:

  • Year-over-year growth in Junior Team Tennis registrations.
  • Growth in number of active JTT teams and host facilities.
  • Increase in Junior Circuit participation.
  • Growth in Tennis on Campus team registrations.
  • Measurable RecTennis-to-JTT conversion rates.

Operational Excellence:

  • On-time and accurate scheduling of JTT seasons.
  • Timely processing of tournament sanctions and Serve Tennis entries.
  • Accuracy in advancement procedures and player selections.
  • Successful delivery of assigned Section and competitive events.
  • Accuracy in administrative support documents and communication.

Pathway Development:

  • Implementation of new pathway initiatives annually (e.g., Rec-to-JTT Play Days, High School outreach efforts).
  • Increased retention of players within the competitive pathway year-over-year.

Stakeholder Experience:

Positive feedback from:

  • Providers & Tournament Directors.
  • JTT captains and coaches.
  • College club leaders.
  • Players and parents.
  • Responsiveness to inquiries within established service standards.

Compliance & Governance:

  • Adherence to USTA National and Section regulations.
  • Minimal administrative errors in sanctioning, scheduling, and advancement.
  • Completion of required reporting to USTA National.

Qualifications:

  • Bachelor degree preferred or equivalent experience.
  • Preferred residence in the Greater Portland Metro area.
  • Proven strong organizational skills. 
  • Proven strong communication skills. 
  • Demonstrated ability of strong multi-tasking skills. 
  • Ability to follow strict rules and regulations. 
  • Knowledge of the Pacific Northwest preferred. 
  • Knowledge of listed USTA Programs & Services preferred. 
  • Strong computer skills. 
  • Ability to work well with others. 
  • Ability to work independently. 
  • Availability to work frequent evening and weekend hours. 
  • Reliable transportation and a valid driver’s license.

Conditions of Hire:

  • Must be able to pass background checks and Motor Vehicle check.
  • Must be able to prove authorization to work in the United States per our E-Verify vendor. 
  • Must have the ability to be SafePlay approval and remain SafePlay approved throughout tenure at USTA PNW.
  • Must complete the required USTA SafeSport online education course. Link provided with offer of employment. Online course takes approximately 60 minutes and you will be paid for your time. 
  • Must sign USTA PNW Offer Letter, Employee Handbook, and all required policies and procedures as needed.

Travel Demands: Travel across assigned areas to promote and develop programs, attend various events, meetings, and trainings as needed.

  • This position will most likely be a mix of home-office and on-court environments.

Compensations and Benefits:

  • Compensation ranges between $23-$26 hourly based on the candidate's skills, qualifications, and relevant work experience.
  • Hourly Rate, Bonus potential, and Paid-Time-Off details included in Offer Letter or other communications from the Human Resources team. 
  • 12 Annual Paid holidays each calendar year.
