Role Description
As a Project Coordinator within our Managed Service Provider (MSP), you will play a critical role in organizing and delivering IT initiatives across a diverse client base. This role ensures that projects are executed efficiently—from planning and resource coordination to documentation, testing, and final delivery.
- Support project initiation, scope definition, and SOW development for multiple clients simultaneously.
- Coordinate resources across engineering, service desk, NOC/SOC, and vendor teams to support project execution.
- Track deliverables, dependencies, and milestones using Teamwork or other project management tools.
- Assist with project budgeting, forecasting, and ensuring tasks are executed within financial expectations.
- Work closely with the PMO to enforce MSP-specific governance, including change management, documentation standards, and data governance requirements.
- Prepare and maintain client-facing project documentation, runbooks, and SOPs.
- Align project tasks with existing RMM, PSA, ticketing, and alert management systems.
- Ensure project work is properly logged, scheduled, and tracked through the MSP’s PSA platform.
- Coordinate with dispatch/resource managers to schedule engineering time.
- Maintain awareness of client SLAs and ensure project work does not disrupt operational commitments.
- Assist in handoff to service desk operations after project completion, ensuring proper documentation and knowledge transfer.
- Support user acceptance testing (UAT) and final validation of project deliverables.
- Coordinate device provisioning, deployments, migrations, and system upgrades.
- Ensure project closeout activities are completed, including documentation updates, ticket closure, asset updates, and lessons learned.
- Act as a communication bridge between clients, vendors, engineers, and internal project leads.
- Provide clear, timely updates on project status, risks, and timelines.
- Schedule and facilitate project meetings, capturing action items and distributing minutes.
- Help manage expectations across client leadership and technical teams.
Qualifications
- 3+ years of project coordination or IT project management experience, preferably within an MSP or IT services environment.
- Associate degree or higher in IT, computer science, business, or a related field.
Requirements
- Strong experience with PSA/RMM tools (e.g., ConnectWise, Autotask, N-able, Kaseya, NinjaOne).
- Experience with Teamwork or similar project management platforms.
- Understanding of MSP workflows, SLAs, ticketing processes, asset management, and alerting systems.
- Familiarity with cloud technologies (Microsoft 365, Azure, basic networking) is a strong plus.
- Project management certifications (PMP, CAPM) are highly valued.
- MCSE or equivalent technical certification is an asset.
Professional Skills
- Exceptional organizational and time-management capabilities, with the ability to juggle multiple client projects.
- Strong communication skills—able to translate technical details into client-friendly language.
- High attention to detail, especially in documentation and quality assurance.
- Ability to work independently and collaboratively in a distributed team.
- Comfortable solving problems under pressure in a dynamic MSP environment.
Other Requirements
- Must be able to work Eastern Time hours (9:00 AM – 6:00 PM ET), which corresponds to nighttime in the Philippines.
- Positive, service-oriented mindset aligned with MSP client expectations.
