Role Description

This role involves providing communication and administrative support for the Young Lives Volunteer Advisory Board.

  • Schedule and prepare materials for meetings, ensuring timely follow-up.
  • Assist with the coordination of 3–5 in-person meetings per year, including logistics, travel support, and on-site needs.
  • This is a part-time position with the potential to expand into a full-time role.
  • Candidate must have proficiency in Canva, Slack, Google Workspace, Zoom, and Workday.
  • Anticipated hourly rate: $20.90-$26.15 depending on relevant education, experience, and location.

Essential Duties:

  • Manage the calendar of the Vice President, determining urgency of requests and priorities.
  • Utilize strong analytical skills in time-sensitive, high-pressure situations.
  • Exercise judgment and independent initiative in handling time-sensitive matters.
  • Operate independently in the absence of the supervisor, assisting the Vice President as needed.
  • Assist the Vice President in preparing for meetings and editing reports, proposals, and presentations.
  • Responsible for arranging travel, itineraries, and background materials for the Vice President.
  • Maintain and submit monthly expense reports for the Vice President.

Office of the Vice President:

  • Manage the Vice President’s office proactively and professionally.
  • Develop a workflow for the office, including timelines and procedures.
  • Interact daily with administrators and officers at all levels and external stakeholders.
  • Exercise excellent judgment and discretion in handling sensitive matters.

Project Management:

  • Analyze business materials and company communications to inform decision-making.
  • Identify process improvement opportunities and recommend solutions.
  • Drive deadlines and deliverables while adapting to changing business needs.
  • Provide strategic planning documents and manage the budget of the Vice President.

Team Meetings:

  • Schedule team meetings, prepare agendas, and record minutes.
  • Manage follow-up tasks and ensure completion.
  • Plan and execute annual team in-person meetings, including booking venues and providing logistical support.

Qualifications

  • BA preferred or equivalent experience.
  • Ongoing education is encouraged.

Requirements

  • 5 years of administrative work required.
  • Ability to function in a flexible role and independently interpret policies.
  • Excellent organizational skills with attention to detail.
  • Ability to manage multiple concurrent tasks with professionalism and confidentiality.
  • Advanced Microsoft Office application skills (Word, OneNote, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle confidential matters discreetly.
  • Basic accounting skills.
  • Strong problem-solving skills and good judgment.
  • Travel is required.
