Job Description

• Coordinate the onboarding process from offer acceptance through the employee’s first day, ensuring a smooth transition. • Partner with hiring managers and IT to provision system access, credentials, and equipment for new hires. • Manage internal transfers and employee changes within HRIS systems. • Process terminations, verify documentation, and coordinate access removal and equipment return. • Collect and validate I-9 documentation, complete E-Verify requirements, and ensure federal compliance deadlines are met. • Maintain accurate employee data in HRIS, Smartsheets, and related systems. • Enroll employees in required compliance training and monitor completion. • Provide Payroll with timely updates related to hires, terminations, and employee changes. • Respond to general employee inquiries and route requests to appropriate departments as needed. • Collaborate across HR, Talent Acquisition, Payroll, IT, and campus teams to improve processes and reduce errors.

Job Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of two (2) years of HR, onboarding, or people operations experience preferred.
  • Familiarity with I-9 and E-Verify compliance requirements.
  • Experience with HRIS systems (ADP Workforce Now or similar), Smartsheets, and Microsoft Office applications.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Excellent verbal and written communication skills with a customer service mindset.
  • Demonstrated ability to handle confidential information with integrity and discretion.
