Role Description
As an Executive Administrative Assistant supporting our Federal government client, you will be trusted to support Senior Level Executive Service (SES) members that are responsible for managing the overall operations and executions of the office. This will include performing senior-level administrative duties such as meeting coordination, task tracking, travel preparation, meeting preparation, and calendar reconciliation.
Key Responsibilities include (but are not limited to):
- Performing routine executive-level tasks to include but not limited to scheduling, drafting internal memos, creating briefing materials, coordinating Front Office daily operations meetings, notes, and after-meeting activities.
- Taking creative direction and working independently and collaboratively in a fast-paced team environment.
- Managing, maintaining, and de-conflicting Executive and Principal Director calendars.
- Managing electronic action binders via MS Teams for Executives and Principal Directors.
- Coordinating all meetings and conference calls to include scheduling with other attendees, scheduling conference rooms, and all external facing meetings.
- Coordinating All Hands, Leadership meetings, agenda, and follow up actions.
- Arranging travel for Executive and Principal Directors and other Front Office staff as assigned to include local, domestic, international, and invitational travel.
- Ensuring appropriate routing, review, signature, clearance, and submission of all high-level documents for Executive Director and Principal Director signature.
- Maintaining records (hardcopy and electronic) in accordance with Applicable Management Directives.
- Performing ad-hoc administrative duties as requested by the federal staff.

Qualifications
- A Bachelor’s degree and 7 years of relevant professional experience (Master’s Degree and 5 years of experience may be substituted in lieu of 7 years of experience).
- Previous experience supporting federal Senior Executive Service Members.
- Must be detail oriented with demonstrated experience in meeting coordinating, task tracking, calendar reconciliation, and travel preparation.
- Must have experience generating reports and developing briefs.
- Possess the ability to foster external relationships with key stakeholders for meeting coordination.
- Ability to communicate effectively, both orally and in writing.
- Must have an active SECRET security clearance.
- US Citizenship required.

- Previous experience supporting the Department of Homeland Security.
- Coachability and resourcefulness in learning new skills.
- Excellent writing and analytical thinking skills.
- Skilled in prioritization and rapport building with clients and colleagues.
