JOB DESCRIPTION FOR AN EXECUTIVE ASSISTANT/COMPANY ASSISTANT
We are seeking a highly organised and proactive Company Assistant to join a fast-growing, venture-backed AI compliance software startup operating across Australia and the United States.
As the business scales rapidly, the leadership team requires strong operational support to create structure, manage coordination across time zones and ensure critical tasks do not fall through the cracks. The Company Assistant will provide high-level administrative and coordination support across the broader business, working closely with founders and senior leaders in a dynamic, high-performance environment.
This is not a traditional 1:1 Executive Assistant position. However, experienced Executive Assistants who are looking to grow within a scaling company environment and broaden their impact beyond a single executive are strongly encouraged to apply.
Responsibilities as an Executive Assistant/ Company Assistant would be:
• Graduate of any Bachelor’s Degree.
• Minimum of 2 to 3 years of experience as an Executive Assistant, Company Assistant, or similar administrative support role.
• Strong hands-on experience with Google Workspace (Gmail, Google Calendar, Drive, Docs, Sheets) is non-negotiable.
• Proven experience supporting senior stakeholders and confidently coordinating with C-suite-level contacts.
• Exceptional written and verbal communication skills.
• Proven ability to exercise discretion and maintain confidentiality with sensitive company information.
• Top-tier organisational skills with the ability to think proactively, multitask and prioritise effectively.
• Strong attention to detail, resourcefulness and calm problem-solving ability.
• Highly organised with the ability to work independently and take ownership of outcomes.
• Adept at meeting deadlines in a fast-paced, quickly evolving startup environment.
• Comfortable joining meetings when required and capturing clear notes, actions, and follow-ups.
• A team player with the initiative and ambition to step into increased responsibility as the company grows.
Qualifications as an Executive Assistant/ Company AssistantAdministration:
• Independently perform a full range of varied, complex and confidential administrative support tasks across leadership and the wider business.
• Manage and coordinate complex calendars across multiple stakeholders, including cross-time-zone scheduling (Australia and US).
• Schedule internal and external meetings, including client, partner, and board-related engagements.
• Communicate professionally with senior external stakeholders (including other Executive Assistants) to secure time and confirm logistics.
• Join meetings when required, record minutes, track action items, and support follow-through.
• Prepare clear, accurate, and concise internal documents, summaries, and reports when needed.
• Coordinate travel arrangements including flights, accommodation, itineraries, and conference logistics.
• Support conference and event preparation, including coordinating printing, banners, materials, shipments and delivery deadlines.
• Establish, organise, and maintain structured shared files and documentation within Google Drive.
• Recommend improvements in workflow and administrative processes to increase efficiency as the company scales.
• Respond tactfully, clearly, and professionally to internal and external inquiries.
• Exercise sound judgment and maintain strict confidentiality in handling critical and sensitive information.
• Perform related duties as required in a rapidly scaling environment.
• Exposure to AI tools

• Ability to use AI to improve productivity
