Job Description

• Provide end-to-end operational, administrative, and financial support across the organization. • Prepare monthly financial statements, including balance sheets and income statements, and manage timely month-end closings. • Record financial transactions and complete monthly bank reconciliations across all business accounts. • Maintain and update fixed asset depreciation schedules and review the general ledger for accuracy. • Prepare and file annual 1099 forms for independent contractors. • Manage monthly bookkeeping and reporting using Intacct, QuickBooks Online, and Bill.com. • Support quarterly business reviews and KPI tracking through Power BI and Vena reporting. • Oversee bi-weekly payroll processing, including employee setup, direct deposits, and payroll account management. • Ensure timely payroll tax deposits and completion of monthly, quarterly, and annual payroll filings. • Coordinate year-end W-2 and W-3 preparation and distribution. • Record payroll journal entries based on payroll reports from E-pay. • Coordinate recruiting activities, onboarding processes, and employee documentation. • Maintain HR scorecards, competency checks, retention metrics, and support engagement initiatives. • Handle compliance-related administrative tasks, audit documentation, and internal recordkeeping. • Support inventory management procedures, contract compliance, and security requirements. • Leverage AI tools to automate workflows, improve data accuracy, and optimize operational processes. • Prepare dashboards, reports, and operational updates for leadership reviews. • Coordinate cross-functional initiatives and ensure timely execution of deliverables.

Job Requirements

  • Proven experience in bookkeeping, accounting, payroll, and operational support.
  • Strong familiarity with U.S. payroll tax processes and general labor compliance.
  • Hands-on experience with accounting and operational systems.
  • High attention to detail with strong organizational and analytical skills.
  • Clear communication skills and a proactive, problem-solving mindset.
  • Full-time availability.
  • Background spanning accounting, HR administration, payroll, and recruiting coordination.
  • Experience supporting compliance, audits, and operational reporting.
  • Ability to manage remote teams and cross-border workflows effectively.
  • Comfortable adapting to new tools, systems, and automation initiatives.
