Job Description
Role Description
We are seeking an experienced Workday Finance Subject Matter Expert (SME) / Super User/Trainer to support a healthcare organization in optimizing, standardizing, and operationalizing its Workday Financials platform. This individual will serve as the bridge between Finance, Operations, and IT — ensuring the organization is left with clear documentation, structured training plans, and defined policies that enable both current staff and new hires to confidently and consistently work within Workday.
This is not a pure configuration role. This is a strategic functional leader who understands what Workday can do and can translate that into operational policy, governance, and sustainable user adoption.
Key Responsibilities
-
Workday Functional Leadership
- Serve as the primary Workday Finance SME and Trainer
-
Provide deep functional expertise across:
- General Ledger
- Accounts Payable
- Procurement
- Expense Management
- Fixed Assets
- Revenue Management (healthcare environment preferred)
- Assess current system usage and identify gaps between system capability and operational process
- Recommend configuration optimizations aligned to healthcare finance workflows
- Advise leadership on what Workday is capable of doing versus legacy ERP limitations
-
Training & Enablement
- Design and document comprehensive role-based training plans
- Create detailed training blueprints and curriculum outlines
-
Develop:
- Step-by-step job aids
- Process flow diagrams
- Standard operating procedures (SOPs)
- Work instructions for common and complex tasks
- Lead live training sessions (virtual and/or onsite)
- Develop onboarding guides for new hires
- Establish a sustainable internal “train-the-trainer” model if appropriate
-
Documentation & Knowledge Management
- Document end-to-end financial workflows within Workday
- Create a centralized knowledge repository for Finance users
-
Ensure documentation includes:
- Clear task ownership
- Role security implications
- Required approvals
- Downstream reporting impacts
- Translate Workday configuration into business-readable policy documentation
- Ensure organization is left with a clear operational blueprint post-engagement
-
Policy & Governance Advisory
- Recommend finance policies aligned to Workday capabilities
-
Help define:
- Approval hierarchies
- Segregation of duties
- Spend controls
- Procurement governance
- Align policies with healthcare regulatory and audit standards
- Partner with compliance and internal audit teams as needed
-
Continuous Improvement
- Identify opportunities to automate manual processes
- Recommend reporting and dashboard enhancements
- Evaluate system usage metrics and adoption effectiveness
- Provide post-go-live optimization guidance
Qualifications
- 5+ years of hands-on experience with Workday Financials
- Proven experience serving as a Workday Super User or Functional SME
- Experience developing structured training programs for enterprise systems
- Strong documentation skills (SOPs, training materials, workflow diagrams)
- Experience working in a healthcare organization (hospital system, IDN, academic medical center, etc.)
- Strong understanding of finance operations and internal controls
- Excellent communication and stakeholder engagement skills
Preferred Qualifications
- Experience supporting a Workday Finance implementation or post-go-live optimization
- Healthcare accounting, grant management, or revenue cycle exposure
- Experience working with executive leadership on governance decisions
- Familiarity with audit and compliance standards in healthcare environments
