Role Description

The Project Coordinator - Bids is responsible for project-managing the end-to-end bid and rebid process for the business. This includes ensuring all RFPs and renewal bids progress in a timely, structured, and coordinated manner across key cross-functional groups such as Sales, Account Management, Finance, Operations, Legal, and Marketing. This position does not involve selling or negotiating deals; instead, it focuses on process discipline, governance, risk management, and cross-functional coordination to improve win rates, cycle time, and execution quality.

What You'll Do

  • Own the end-to-end project management of all bids, rebids, and major proposal responses.
  • Create and maintain standardized timelines, milestones, and deliverables.
  • Coordinate kickoffs, working sessions, and review meetings.
  • Ensure all bid materials are timely, compliant, and aligned with internal strategy.
  • Track status of all active bids and provide leadership updates.
  • Act as the central point of coordination across Sales, Account Management, Finance, Operations, Legal, and Marketing/PDC.
  • Escalate delays, conflicts, or issues and facilitate resolution.
  • Maintain a centralized tracker for all RFPs, rebids, and proposals.
  • Track key data points such as bid status, stage, approvals, submission dates, RFP deadlines, and contract end dates.

Qualifications

  • Strong knowledge of the RFP process.
  • Excellent follow-up skills and high attention to detail.
  • Intermediate Excel skills.

Preferred Qualifications

  • Experience working on all aspects of an RFP, including the technical components and assembling accompanying proposals.
  • Cross-functional experience with legal, finance, marketing, accounting, etc.

Requirements

  • Minimum Education Requirement: Associate's degree or equivalent experience.
  • Minimum Functional Experience: 2 years.
